Public and private operators who qualify will receive a grant to attend.

The trip includes roundtrip economy coach airfare to Scottsdale, Arizona, a two-night hotel stay, ground transfers from the Phoenix airport to the resort, and all scheduled meals. Incidentals, transportation to and from your home airport, baggage fees and parking are not included.

Prior to submitting your application, please check your calendar to make sure you are available to attend School Bus Fleet ConneX from September 22-24, 2025 (Mon-Wed).

TERMS AND COMMITMENTS

Commitment to Attend
Operators are required to attend all events on the SBFX schedule. Including mandatory one-on-one supplier appointments, group presentations and focus groups as assigned by event management. Failure to participate in all scheduled sessions and appointments will result in reversal of the grant as a hosted attendee status.

Travel
If accepted, your hosted round-trip includes economy coach airfare to Scottsdale, AZ, a two-night hotel stay, ground transfers from the airport to the resort (on program dates only), and all scheduled meals. SBFX will host your hotel stay on Monday, Sept 22 and Tuesday, Sept 23 at The Scottsdale Resort and Spa in Scottsdale. If you choose to arrive before Monday, Sept 22 or depart after Wednesday, Sept 24, you will be responsible for the costs associated with the additional hotel room nights and the airline ticket balance if your alternative dates result in an increase in cost. Your airport transportation will not be covered for alternative dates outside the program dates. Personal incidentals, baggage fees, transportation to and from your home airport, and parking are not included.

Airfare Clause
Once travel has been booked, any additional charges or changes made to the reservation will be at your expense. If attendance is canceled after your airfare is booked, you are responsible for refunding SBFX the cost of your airline ticket. Your ticket will then appear as a travel credit in your name and can be used again based on specific airline policies.

Hotel Clause
If attendance is canceled 24 hours before the event, you are responsible for refunding SBFX the cost of one single night of your canceled hotel room reservation. 

Spouses
If you would like to have your spouse accompany you to SBFX, our Travel Coordinator will be able to assist in booking a travel companion ticket - but the cost will be at your expense. NOTE: based on airline rules, we may not be able to utilize your reward mileage. Spouses will be included in our hosted ground transportation to/from Phoenix Airport and the Resort on program dates only. 

Spouses may not join our scheduled sessions and meals*, since our sessions are designed to maximize the networking opportunities between Operators and our event Sponsor Hosts.  *Exceptions: spouses may attend Tuesday & Wednesday Breakfast buffet and Tuesday evening's Reception & Dinner.
